The successful candidate will be responsible for providing efficient document management services to support the RAF’s operations.
This role is based in Menlo Park, Gauteng, and is offered on a fixed-term contract of 24 months.
Key Responsibilities
Mail and Document Handling
- Process incoming and outgoing mail, including batching and dispatch.
- Manage unidentified mail and faxes.
- Ensure timely receipt, capturing, and dispatch of legal process documents (e.g., summonses & writs).
- Maintain registers of payments and perform regular inspections.
- Conduct searches and retrieve documents from SharePoint and scanning solutions.
Correspondence Management
- Validate mail and files before scanning.
- Allocate mail to scanners and ensure proper indexing of scanned documents.
- Handle ICT-related queries and ensure scanning equipment operates optimally.
- Execute copying, binding, and laminating requests efficiently.
- Ensure effective courier services for delivery to financial institutions, government departments, and clients.
- Book vehicles for delivery and collection of items.
- Archive scanned files in accordance with the Archive Act and RAF strategies.
Supervision of Staff
- Allocate tasks and monitor performance of correspondence management staff.
- Ensure staff adhere to policies and procedures.
- Maintain discipline, mediate conflicts, and facilitate training.
- Monitor staff leave and attendance.
Policy and Procedure Compliance
- Contribute to the development of departmental policies and procedures.
- Ensure compliance with organizational standards and legal requirements.
Qualifications and Experience
- NQF 7 qualification (Bachelor’s Degree or Advanced Diploma in Administration or Business Management or related field).
- At least 3 years relevant experience in administrative, records management, or mailroom environment.
