Office Administrator job opening at MTN South Africa

MTN South Africa is seeking a highly organized and proactive Office Administrator to support its Commercial Operations team.

Location: Johannesburg, Gauteng, South Africa
Job Type: Full-Time

The successful candidate will provide essential administrative support to the General Manager, Senior Managers, and the Stakeholder and Relationship Management team to ensure smooth daily operations.

Key Responsibilities

Logistical & Administrative Support

  • Serve as the primary communication hub for departmental information, including scheduling meetings and disseminating information.
  • Monitor all stakeholder engagements, follow up, and record closure of engagements.
  • Collate submissions for meetings and prepare comprehensive meeting packs.

  • Facilitate booking of meeting venues and manage logistical requirements such as catering, dietary needs, invoicing, and accommodation.
  • Dispatch meeting packs and ensure their timely delivery to internal and external stakeholders.

  • Process all stakeholder requests in accordance with company protocols and policies.
  • Manage business travel arrangements and accommodation for General Managers.

Document Filing & Maintenance

  • Ensure accurate filing of meeting minutes and documented submissions in shared drives.
  • Maintain a user-friendly and efficient filing system.
  • Track daily activities of the CXSO and provide progress updates to leadership.

  • Keep distribution lists updated monthly (resignations, onboarding, etc.).
  • Organize company events from start to finish, guided by leadership insights.

Financial Support

  • Prepare and monitor expenditure requisitions via Oracle, including the reconciliation process.
  • Ensure office supplies and stationery are adequately stocked.
  • Support database management, record keeping, and filing for the business unit.

  • Provide insights on budget requirements during OPEX meetings.
  • Monitor encumbrances in OPEX reports, report variances, and assist with monthly supplier account reconciliations.

  • Ensure timely supplier payments following contractual obligations and company policies.
  • Track and close Purchase Orders with support from buyers.
  • Manage and highlight contract expiry dates in CXSO, ensuring leadership is informed 6 months in advance.

Qualifications & Experience

Education:

  • Grade 12 certificate
  • Diploma in Office Administration or Secretarial Administration

Experience:

  • Minimum of 2 years’ experience in office administration
  • Experience working in small to medium organizations
