The Road Accident Fund’s mission is to provide appropriate cover to all road users within South Africa, rehabilitate and compensate persons injured as a result of motor vehicle accidents in a timely and caring manner, and actively promote safe use of our roads.
Purpose of the Job:
The Administrative Assistant: Legal Costs Validation will be responsible for ensuring that received bills/files are accurately allocated on the legal cost system for assessment, marking for payment requisition, and general administration of legal costs.
Key Performance Areas:
Perform Office Administration
- Pre-screening of files and bills to ensure correct branch allocation
- Updating claim information to match the claim system (claim numbers, link numbers, claimants, attorneys)
- Stamp, sort, and separate fee analysis from taxations and block settlements
- Identify whether bills are High Court merits, quantum, or both
- Determine regional belonging of bills
- Scan, email, and prepare matters for delivery to relevant regions
- Update file status and allocations in the claims viewing system
- Maintain accurate records of legal cost payments and file movements
- Manage file requests, uplifts, and document filing
- Handle internal and external queries related to payments and legal costs
- Liaise with Assessors and Attorneys for claim details
Validation of Allocated Bills
- Verify bill correspondence with attorneys and claim details
- Review previous payments and ensure offers are loaded
- Allocate bills on the legal cost system within specified timeframes
Batching and Indexing
- Print and record payment histories daily
- Submit payment reports to finance within deadlines
Reporting
- Keep daily activity stats
- Submit daily and monthly reports as required by management
Qualifications and Experience:
- NQF 4 (Matric or Grade 12) qualification
- At least 1 year relevant experience in Claims, Litigation, Summons, Administration, or Data Capturing
Behavioral and Technical Competencies:
- Personal Mastery, Emotional Wisdom, Ethics and Governance, Customer Orientation and Focus
- Proficiency in English and at least one other official language
- Good communication and telephone etiquette
- Computer literacy
- Interpersonal skills, organizational, administrative, and time management skills
