About the Team
The Program Assistant / Senior Program Assistant role encompasses a diverse array of administrative and organizational responsibilities designed to support foundation leadership and their respective teams.
Ideal candidates are those who excel in dynamic environments, embrace challenges, and display a consistently positive outlook.
Responsibilities include managing multiple tasks under high workloads, while ensuring deadlines are met. The roles differ in complexity, with Senior Assistants handling more strategic tasks.
As part of a diverse and dynamic team, these positions contribute significantly to furthering the Foundation’s mission and values.

Currently, a Senior Program Assistant opportunity is open in the Office of the President of the US Program division.
Key Responsibilities
Calendar Management:
- Assistant: Schedule appointments for 4-8 calendars, coordinating meetings.
- Senior Assistant: Manage 2-4 deputy director-level calendars and prepare for critical meetings.
Travel Coordination:
- Assistant: Arrange travel for multiple team members.
- Senior Assistant: Handle sophisticated travel schedules for senior leaders.
Event Management:
- Assistant: Coordinate arrangements for meetings and events.
- Senior Assistant: Manage logistics for more complex events ensuring smooth execution.
Communication Support:
- Provide timely responses to inquiries, handling confidential information effectively.
Knowledge Management:
- Support document management and project tracking, maintaining organization in team sites.
Financial Task Management:
- Assistant: Process routine financial tasks such as expense reports.
- Senior Assistant: Handle more complex financial duties and budget reconciliation.
Collaborative Contributions:
- Work with leadership to achieve goals and foster team culture.
Creative Problem Solving:
- Proactively propose solutions to challenges faced by the team.
Qualifications and Experience
- Understanding of foundation priorities and alignment with organizational leadership.
- Administrative experience in a fast-paced setting supporting multiple executives (Senior Assistants need extensive experience with senior management).
- Proven ability to establish and maintain effective working relationships.
- Strong multitasking skills and ability to prioritize effectively.
- Bachelor’s degree or equivalent demonstrated experience.
Compensation
- Assistant: Hourly rate ranges from $29.98 to $41.98
- Senior Assistant: Hourly rate ranges from $35.01 to $49.00
Salaries are typically positioned between the minimum and midpoint of the salary range, based on candidates’ relevant skills, experience, and expertise.
